Document Management System
DMS (Document Management System) is a business document management system and it monitors the life cycle of each document. Each document is entered into the system, so further exchange and management are done electronically. The goal of the DMS system is to save time and money.
The application of a DMS system does not depend on the size of an enterprise or organization but on the complexity of the business processes and the amount of paperwork that the company manages daily. Law offices manage a large number of documents on a daily basis and the DMS system is of great importance to them, although they are not considered large enterprises.
How does the DMS system work?
When the document arrives at the company (eg invoice), the employee receives the document and sends it for validation to the persons responsible for that segment of the business. After the document is physically passed through all the required sectors and approved by the responsible persons, it is sent to accounting for posting. The physical process of moving a document through an enterprise carries with it numerous risks, such as the loss of a document, unauthorized access to the document, paper damage and many other risks that could adversely affect the business of the enterprise. The DMS system prevents such problems from occurring because the document is in electronic form, which facilitates and speeds up the process of exchange and at the same time saves money for the company because the need for additional printing of documents and physical storage of the same is lost.
