Keeping a complete record of occupational safety at company employees is mandatory. In companies where there are jobs with a certain degree of risk and it is necessary for employees to perform regular medical examinations or use hazardous substances at work, it is necessary to keep a record of all changes, injuries at work, medical examinations and other documentation.

Time spent filling out forms and finding information that is current (current employee post, job description, the current total number of employees in that post, etc.) can take quite a while, if all the documentation is in physical form and if more is needed and rewrite.

Laws and regulations

The modern information solution is in compliance with legal regulations and standards that prescribe monitoring and measurement of hazardous substances, waste, degree of risk and other parameters.

The program contains all types of records, together with all forms and reports on health and safety at work, which are in accordance with the Regulations on their records.

When filling in forms, the system itself generates ie. collects all necessary data and atomically inserts it into a form and compiles reports. The forms used are prescribed by law and there are 14 of them:

Form 1 – Record of high-risk jobs;
Form 2 – Records of employees assigned to higher-risk jobs and medical examinations of employees assigned to those posts;
Form 3 – Records of injuries at work;
Form 4 – Records of occupational diseases;
Form 5 – Work-related illness records;
Form 6 – Records of employees trained in safe and healthy work;
Form 7 – Records of combustible substances used during work;
Form 8 – Records of completed environmental testing;
Form 9 – Records of performed inspections and checks of work equipment;
Form 10 – Records of issued personal protective equipment and equipment;
Form 11 – Records of reports of fatal, collective and serious injuries at work, as well as injuries at work that make an employee unable to work for more than three consecutive working days;
Form 12 – Records of reports of occupational diseases;
Form 13 – Records of performed medical examinations of employees in accordance with regulations on occupational safety and health;
Form 14 – Records of reports of dangerous occurrences that could endanger the safety and health of employees.

Notification – Visual and sound

In order for the system to function more efficiently and to avoid downtime, a visual pull-out notification system was created. In addition to the parameters in the system, there is a box that is colored:

Green when all parameters are in accordance with the legal framework;
Yellow the commitments to be completed approach to e.g. emphasizes the medical examination of a particular employee;
Red means an immediate reaction because the parameters are not in accordance with the law or the medical examination of the employee has expired.

The color of the square indicates the compliance of the parameters with the legal framework and upcoming obligations.
